# AI systems

> Register the AI systems your organization builds or buys, keep their details current, and find everything about each one on its page.

An AI system is anything your organization builds or buys that calls a model: a support assistant, a fraud scorer, a drafting tool. **AI systems** is your register of them.

Everyone in your organization can read the register. Owners, admins and Governance Leads register and edit AI systems. A Member can register one too, and becomes its owner.

## Register an AI system

**1. Details**

Open **AI systems** and choose **Register AI system**. Enter a name (unique in your organization), a description, its purpose, and its owner. The owner is you unless you pick another active member.

**2. Risk profile**

Answer seven questions about what it does, who it reaches, the data it handles and how much it acts on its own. See [Risk rating](/ai-systems/risk-rating.md).

**3. Review**

Check the suggested rating, its EU AI Act category and the reasons. Choose **Register AI system**, or pick a [different level](/ai-systems/risk-rating.md#choosing-a-different-level) first.

The AI system starts in **Draft**. To take traffic it must be approved and taken live: see [Lifecycle](/ai-systems/lifecycle.md). You can register up to 60 AI systems an hour.

If its traffic already goes through the AI Gateway, register it from [Discover](/discover.md) instead, and its keys are attached for you.

## Find an AI system

The list shows each AI system's rating, EU AI Act category, stage, [posture](/ai-systems/posture.md) and [project](/projects.md). Filter by any of them, or search by name. Owners and Governance Leads see **Awaiting approval** when an AI system is waiting for them.

## The AI system's page

The header shows its stage, rating and project, and the next step you can take. The tabs hold the rest.

| Tab | What you find |
| - | - |
| **Overview** | Its [posture](/ai-systems/posture.md) and the gaps to close, where its assessment stands, its rating, its lifecycle, open [incidents](/incidents.md), and, for those who run the AI Gateway, spend and requests over the last 30 days. |
| **Risk** | The risks from its latest assessment, the controls that answer them, and its [rating after controls](/ai-systems/risk-rating.md#residual-rating). |
| **Guardrails** | What is live now. See [Guardrails](/guardrails/overview.md). |
| **AI Gateway** | Its keys, budget and rate limit, MCP tools, cache and content logging, and its requests. For owners, admins and Governance Leads. |
| **Cost and usage** | What it spends and where the month is heading. See [Reporting](/reports.md). |
| **History** | Every stage change, every rating it has had, and every assessment. |

The **Bill of materials** on the Overview lists, for the last 30 days, the models it used, the MCP tools it called and the [prompts](/ai-gateway/prompts.md) it used. A model your [Model catalog](/model-catalog.md) has under review or blocked is marked.

## Change an AI system

From the actions menu on its page:

* **Edit** changes the name, description, purpose and owner. Owners, admins and Governance Leads.
* **Move to project** puts it in a [project](/projects.md) or takes it out. Owners, admins and Governance Leads.
* **Edit risk profile** changes its answers. The dialog shows the new rating before you save. Owners, admins, Governance Leads and the AI system's owner. See [Risk rating](/ai-systems/risk-rating.md).

## An AI system cannot be deleted

An AI system stays in your register for good, so its history stays with it for audit. When it is no longer used, retire it: it stops taking traffic and leaves the portfolio, and an owner or Governance Lead can restore it. See [Lifecycle](/ai-systems/lifecycle.md).

## Messages you may see

| Message | What it means |
| - | - |
| Your organization already has an AI system with that name. Choose a different name. | Names are unique, ignoring capital letters. |
| This AI system is still being set up. Try again in a few minutes. | Altrum is still finishing an AI system you just added. Nothing is lost. |
